This privacy policy sets out how I use and protect personal data that any potential or existing client of mine gives my service through use of this website http://suzannethomasmindfulness.co.uk, also including any data you may provide through this as well as other business systems (e.g. telephone) to my service, e.g. registering for a course or more generally expressing an interest in my service.

My Mission: To help individuals improve the quality of their physical and emotional wellbeing, through running mindfulness events and courses for those living with pain, stress and illness.

Your privacy

I value and respect the privacy of my customers e.g. course attendees and website users and take data protection seriously. I am committed to ensuring that your privacy is protected. Should I ask you to provide certain personal data by which you can be identified when using this website www.suzannethomasmindfulness.co.uk or any of my services, then you can be assured it will only be used in accordance with this privacy statement. I do everything possible to ensure that personal data is kept safe and secure.

I may change this policy from time to time by updating my privacy policy on this page. You should periodically check back here to ensure you are happy with any changes.

I will use the information that I collect about you in accordance with:

  • Data Protection Act 2018

  • a genuine respect for the privacy and personal data of all regardless of the above law.

This policy is effective from July 2022.

What I collect

Personal information means any information about an individual from which that person can be identified. It does not include data where the identity has been removed i.e. anonymous data.

Ways you give me Information

Should you visit my website or interact with my services, there are a number of ways you may provide me with your personal information, including

By corresponding via e-mail, phone to make an enquiry.

By taking part in a pre-registration consultation eg by phone

By completing a registration form for a course

By voluntarily providing feedback on one of my services.

The information I collect depends on the nature of the registration, enquiry or transaction and the information I require to fulfil this.

Information I may collect from you

I may collect, store and transfer different kinds of personal information about you as follows:

Identity data including full name, username or similar identifier, date of birth

Contact data including e-mail address and telephone number

Transaction data including details about payments from you and other details of services you have purchased from me.

Profile data includes registrations made by you, feedback responses.

Special categories of personal data if you are registering for an event with me. I do ask you for data which is termed under the special categories of personal data label  (this includes details about special requirements and information about your medical (physical and mental) health and history that you choose to give me)  to ensure event suitability and to meet your needs and preferences as much as possible.

An emergency contact when you register for my courses.

How I use your data

I require personal data from you in order to be able to provide and support you with my services appropriately, including:

To register you as a new customer and supply you with e.g. enquiry information and services.

To manage our relationship with you, which will include e.g. asking you to leave a review.

To administer and protect the business and this website (e.g. hosting of data)

To process your payments.

To make suggestions to you about future services e.g. new courses that may be of interest to you.

To administer the website and enable you to log on and access the site and any areas you are permitted to use.

To deal with enquiries made by you relating to the website/my services.

To share specified personal data for a specified purpose only (eg to an accredited Breathworks teacher helping to deliver and organise a specific course with me)

To comply with the law.

I may periodically send emails about new courses or other information which I think you may find interesting using the e-mail address which you have provided. You may of course wish to inform me that you no longer need to wish to receive any information from me. If you inform me that is the case, via email to suzanneclarethomas@gmail.com

I then will no longer send you any information.

If you fail to provide any personal data requested, I may not be able to provide my services to you as intended.

Security

Any personal data collected via my website is held within a secure password protected system. Any paper data collected e.g.  notes on pre-course telephone consultations, or documentation sent by post will be secured in a confidential, secure system for no longer than necessary, in line with legal advice and requirements.

Where I have given you a password or link which enables you to access certain parts of my site or systems, you are responsible for keeping this password or link confidential. We ask you not to share these with anyone.

Unfortunately the transmission of information via the Internet is not completely secure. Although I will do my best to protect your personal data, I cannot guarantee the security of your data transmitted to my site and any transmission is at your own risk. Once I have received your information, I will use appropriate procedures and security features to try to prevent unauthorised access.

Data Sharing

I use your information for my courses and keep it private.

I do not sell or pass your details onto third parties. This includes not passing personal details onto venues where I run courses.

If you have requested information from me via my website, email or phone, I will store your personal data on file for a minimum of one year, but will not send marketing information to you unless you have given us permission to do so.

Exceptions to the above:

I occasionally work with an accredited Breathworks teacher and we both receive regular supervision from Breathworks supervisors. When I jointly run courses, it is vital that the accredited Breathworks teacher I am running the course with has access to some of the attendees’ personal information, in order to plan and deliver successful delivery of the event in line with the attendees’ needs. The teacher with whom I jointly run courses will also be involved in responding to some of the queries from interested individuals and will also collect information via pre -registration discussions and registration forms.   In supervision, we would both not divulge personal details of any attendees. Any teacher I work with will only process your information in line with this policy and will also be subject to a duty of confidentiality.

If I am under a duty to disclose or share your personal data in order to comply with any legal obligation or in order to enforce or apply our terms of use and other agreements, or to protect the rights, property or safety of us, our clients or others.

Or

If I have your permission to share, then I will do so.

The other exception would be to contact your emergency contact, should I be concerned about your personal safety and welfare-this would a name given to me by you and agreed beforehand.    

Data Storing

I do not keep your personal data longer than necessary, in line with legal requirements.

I store transactional and invoicing information for a time period in line with HMRC and other government organisations if you have made a purchase from me e.g. mindfulness course.

If you have requested information from me via my website, email or phone, I will store your personal data on file for a minimum of one year, but will not send marketing information to you unless you have given us permission to do so.

Links to other websites

My website may contain links to other websites of interest. Once you have used these links to leave my site,  I do not have any control over that other website. I can not therefore be responsible for the protection of privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. You should exercise caution and look at the privacy statement applicable to the website in question.

Accessing your data

You have the right to request access to and rectification or erasure of your personal data, to restrict processing of personal data related to you or withdraw your consent to the processing of your personal data at any time, unless legally I am bound to store that information.

If you wish to delete any of your personal data which I hold on record, I will do everything in my power, where legally allowed, to comply with your request. In the first instance, please contact me by e-mail suzanneclarethomas@gmail.com

Please be aware that because of backups and records of deletions, it may be impossible to delete a record without retaining some residual information retrospectively. Anyone who requests to have personally identified information deactivated will have this information functionally deleted and I will not use personal personally identifiable data relating to that individual in anyway moving forward.

If you believe that our processing of your personal data infringes data protection laws, then you have the right to complain to the supervisory authority responsible for data protection. You will need to contact the appropriate authority in your country of residence. In the UK the supervisory authority is the ICO.

Information we collect automatically.

I also collect some anonymised information about your visit to our websites, using cookies such as your IP address and your behaviours on the website e.g. what page you click on. I use this information to help me keep my website secure and to provide functionality on the website.
